A vendor scorecard for Palm Beach med spa AI tools

Compare tools against one real workflow. A polished demo is useful only if the product can respect your data boundaries, hand work to staff and produce results you can verify.

Define what the tool is allowed to do

Choose a non-clinical task such as drafting a general newsletter, answering approved business questions or organizing consultation requests. Write down the permitted information and the questions that require a person. Candidacy, medications, preparation, contraindications and aftercare belong with licensed clinicians.

Distinguish a booking request from a confirmed appointment. If a tool cannot access a dependable scheduling source, it should not promise a slot. Every conversational assistant should identify itself as automated and provide an easy human route.

Ask for evidence in the demonstration

Give each vendor the same fictional test questions. Include normal hours inquiries, an unknown price, a request for a person and a clinical question. Observe whether it acknowledges uncertainty, routes the question correctly and preserves the handoff. Do not use real patient information in a demonstration.

A practical scorecard has five headings: factual accuracy, human handoff, data handling, integration and total cost. Record evidence under each rather than averaging away a critical failure. A tool that saves drafting time but mishandles private information has not passed the trial.

Review the data flow before connecting systems

Never enter patient or client personal or health information into public AI tools. Where HIPAA applies and the vendor handles patient information, assess the business associate agreement, risk analysis, safeguards, access controls and staff oversight with the practice's responsible privacy lead. A vendor's compliance slogan is not an approval of your specific setup.

Ask how data is retained, who can access it, how deletion and export work and what happens when the integration fails. Confirm costs for setup, usage, support and exit. Pricing and vendor capabilities change, so use the current written terms for the product you are actually evaluating.

Make a decision with a stop condition

Set a trial end date and measure time spent, correction work and successful handoffs. Keep review replies general and free of patient details, and invite all clients neutrally for honest feedback without incentives. Do not let a product turn reputation management into selective solicitation.

Keep the tool only if it meets your operational and privacy requirements. Clearer public pages may help people understand the practice, but an AI subscription is not a guarantee of search visibility or growth.
