A lead handoff audit for Delray Beach plumbers
Before buying another inbox, trace what happens after a call, form or message arrives. The goal is a reliable human response, with consent-based automation supporting the handoff.

Find where the conversation stops
Choose a recent ordinary week and count inquiries by channel and time of day. Keep customer contact details in your existing protected system, not in a public AI tool. Your working report can use anonymous lead IDs. For each ID, record arrival time, first human response, assigned person and outcome.
Look for a specific break: a voicemail nobody owns, a form routed to an old email address, or a message read by two people who each assume the other will answer. Fixing that break is often more useful than adding another channel.
Use a simple ownership rule
Give every new inquiry one owner and a backup. An automated acknowledgement is not a completed response. Separate acknowledgement time from the time a person actually addresses the request. Make any published response promise fit the hours your team can cover.
A practical log needs six fields: lead ID, channel, received time, owner, next action and status. Use statuses such as new, awaiting customer, scheduled and closed. This makes it possible to find forgotten conversations without reading every message again.
Add text-back only where permission supports it
Do not assume that an unanswered call grants permission for marketing texts. Establish the consent required for the particular channel and purpose, identify the plumbing business, disclose automation, honor STOP requests and retain a suppression list. Let customers reach a person easily. Confirm the applicable requirements with qualified advice when setting up a campaign.
An assistant can collect basic contact details and route a request. It should not invent a price, diagnose a dangerous situation or promise a technician who is unavailable. Urgent requests need a monitored human route with a fallback.
Test the whole path
Have a team member send a test inquiry through each published contact option. Confirm that the assigned person receives it and that a backup can take over. Google's old built-in Business Profile chat has been retired; check the contact options actually available in your profile rather than relying on an old setup guide.
Compare missed inquiries and completed appointments after the change. Faster responses are a customer-service goal, not a proven AI-ranking factor. Keep your real service area and contact information accurate, and invite all customers equally to share honest reviews without incentives or coaching.
