An evidence register for a Palm Beach Gardens law firm website
Give every public claim an owner and a verification source. This is a marketing-content workflow, not legal advice or a substitute for an attorney's advertising review.

Separate the firm from the individual attorneys
A visitor should be able to identify the firm, its actual offices, the attorneys who work there and the matters it handles. Keep those facts consistent across the website, official bar records and profiles you maintain. Do not imply an office exists just because the firm serves clients in an area.
Create an internal register with the public statement, its source, its owner and the date checked. A firm address might be approved by operations; an attorney credential should be checked against the relevant official record. Mark uncertain claims for review instead of filling the gap with persuasive language.
Route legal explanations to attorneys
Have a licensed Florida attorney write or review Florida-specific legal information and statements about specialties, certifications or credentials. Check applicable Florida Bar advertising requirements before publishing. A marketing editor or AI tool cannot supply that approval.
Keep the website useful with clear non-confidential information about consultation requests, office logistics and the firm's actual practice areas. Avoid invented expertise, guaranteed results or fictional case examples presented as real matters. Do not put client details into public AI tools.
Audit listings with a defined priority
Start with the firm's website and official bar information, then the legal and business directories people actually use. Record wrong contact details and outdated affiliations before seeking additional listings. An accurate profile is useful to clients; buying more directory entries is not proof of expertise.
Optional structured data can repeat visible facts about the organization or service. It must not introduce a specialty, location or qualification absent from the reviewed page. Markup is a description, not independent verification.
Close the loop each month
Assign owners to remaining discrepancies and keep a dated record of corrections. If you monitor AI answers, note the exact question, sources shown and test conditions, then repeat it. Separate a false statement from an omitted mention; only the former is necessarily an accuracy issue.
Reviews should be invited neutrally and consistently without incentives or coaching. Public replies must protect client confidentiality. No listing or content change guarantees an AI recommendation, so evaluate the work first by the accuracy and usefulness of the firm's public information.
