A monthly AI visibility worksheet for Palm Beach Gardens dentists
Use a small, repeatable dataset to compare observations over time. Keep mentions, citations and factual accuracy separate so the worksheet does not turn variability into a misleading ranking.

Define the test before running it
Choose a fixed list of realistic local questions about the practice's actual services and booking needs. Keep the exact wording stable across periods. Record which tools and experiences you test; Google Search with an AI Overview, AI Mode and a standalone assistant are not interchangeable observations.
Use a sustainable schedule, such as one review period each month. Record the date and time, approximate location, device, account state and whether live sources were available. Private browsing can be one condition, but it does not produce a universal or unbiased answer.
Use one row per answer
The worksheet fields are: period, tool, exact query, run number, conditions, practice named, own website cited, description accurate, source URLs and notes. Record when no AI answer appears and when a tool cannot be tested. Do not silently discard those observations.
Repeat each question under the conditions you chose. Use fictional discovery questions, not patient cases. Store only public business observations in this sheet. Clinical content on the practice website still requires licensed-dentist authorship or approval.
Calculate only what the sample supports
A descriptive mention rate can be the number of eligible recorded answers naming the practice divided by the number of eligible answers tested. Always show the numerator, denominator and test scope. It is a measure of your sample, not market share or the probability that a patient will see you.
Track website citations separately. Keep a factual-error count and a correction queue as well. If you change the query list, account conditions or platforms, mark the break rather than presenting the new month as a clean comparison. Small samples are especially sensitive to ordinary answer variation.
Pair the worksheet with a change log
Record website and listing changes, dates and owners. Compare patterns across several periods without assuming causation: competitors, source updates and product behavior may also change. A better answer after a page edit does not prove the edit caused it.
End each review with one actionable priority, such as correcting an outdated service description. Keep review requests neutral and public replies free of patient details. No tracker can guarantee visibility, but a transparent worksheet makes uncertainty visible and helps the team make more disciplined decisions.
